Cancellation Policy

If you need to cancel a session, please contact Cathryn Franks as soon as possible by text, phone or email. (I cannot guarantee to pick up emails outside of office hours). No charge will normally be made in respect of sessions cancelled at least 24 hours in advance. However, if a client repeatedly cancels sessions, even with notice, we reserve the right to charge the full session fee for all missed or cancelled appointments. This is because your appointment time is reserved for you and no one else, and I may incur room hire and travel costs. I cannot use reserved appointment times for any other clients or direct work.

Pricing

All prices are displayed on the Website in pounds sterling and are inclusive of VAT at the prevailing rate charged in the UK.

Method of Payment

We accept VISA, Master Card, Switch or Maestro payment through a secure Paypal account. We also accept payment via BACS or in cash for 1:1 support services.

Unless otherwise specified the copyright in the contents of all the pages in this Website are owned by or licensed to Cathryn Franks. Please provide full details of the nature of your complaint, including the services you received, your name, address, daytime telephone number, email address and any other information which you think will assist us in resolving your problem as quickly as possible. Cathryn Franks will deal with your complaint as quickly as possible.

It is hoped that most complaints can be resolved by a discussion between the service user and Cathryn Franks. Cathryn Franks is committed to providing a high standard of service, however it is recognised that sometimes the users of the service may not be happy with the way services have been provided. In these circumstances Service users will be given details of how to invoke the formal complaints procedure.

Formal stage 1:

An Independent Person is appointed to investigate the complaint and report back to Cathryn Franks. The Independent Person’s findings will be responded to within 28 days. Should the Complainant not be satisfied, then he / she can request that the matter move on to the Second Formal Stage. This should be done within twenty-eight days of the completion of the First Stage.

Formal stage 2:

The complaint will be referred to the practitioners respective professional bodies.

Who may complain?

Anyone who is receiving a service from Cathryn Franks. Representations may be submitted on behalf of those receiving a service.

What may be complained about?

Any aspect of the service provided by Cathryn Franks. Should the matter not be the responsibility of Cathryn Franks then assistance should be offered to help the complainant find the right channel.

Time limit for complaints

The time limit is one year from the date on which the complainant became aware of the problem, unless there is a genuine issue of vulnerability on behalf of the complainant, Cathryn Franks believes there is still benefit to the complainant in proceeding or there is still sufficient information to enable a fair investigation to be carried out.

Cathryn Franks collects and uses certain types of information about individuals who we come in to contact with through the organisation.

We collect information when you contact us either to make an enquiry regarding our services, an order for Her Wild Products, as part of a questionnaire that is completed prior to using our services, or to subscribe to a mailing list that may be set up from time to time, to receive our newsletters or to download our free resources.

There may be situations where Mailchimp is used as our marketing automation platform. Therefore people who are subscribed to our mailing list will have their email addresses processed by them in accordance with their own Privacy Policy and Conditions.

How do we safeguard this information?

Cathryn Franks opens a file at the time of an initial enquiry or referral, and copies of consultations and any correspondence are kept electronically and where appropriate as hard copies.

1-1 clients will be asked to provide personal data confidentially. This will be recorded and stored under password protection on Cathryn Franks personal computer. Cathryn Franks will occasionally need to share this information if relevant to the client and consent will be obtained for this. Emails will be password protected in this instance.

All computer files are backed up and secured.

Paper files are stored in locked cabinets and offices are locked whenever they are empty.

Communication between us (the practitioner) and the client will take place by email or text or phone call and consent will be obtained for this via the initial consultation form.

Who has access to your information?

Access is limited to only to Cathryn Franks who needs your details to provide the service to you. We do not sell or rent your information to third parties and we will not share your information with third parties for marketing purposes.

Whilst we take appropriate measures, both technical and organisational, to safeguard your personal data, we cannot guarantee that transmissions over the internet are totally secure. However, we are happy to send out all our plans for you as password protected PDF’s, or to use a secure email email system if you request this.

For our mailing list, Cathryn FRanks will occasionally use Mailchimp as it’s marketing automation platform, therefore people who are subscribed to our mailing list will have their email addresses processed by them in accordance with their own Privacy Policy and Conditions.

Transfer of your information outside Europe?

We only transfer information outside Europe for those clients that request our services in non-European countries.

How do we retain your Information?

We will hold your personal information on our systems for as long as it is necessary to fulfil  the purpose for which it is obtained. Unless otherwise stated, this will usually involve data being kept for a period three years on the basis of legitimate business interest because many of our clients return to have support for subsequent support. If you do not want this then records can be deleted prior to this time.

From time to time we will ask you to confirm whether you wish to remain on our mailing list, but you can opt out of this any time by notifying us directly.
